Expenses

Expenses Overview

Expense tracking in Limitlytics lets you record everything your business spends -- from one-time purchases to monthly subscriptions, team salaries, commissions, and taxes. This data feeds directly into your Financial Dashboard for profit calculations.

Admin-only feature. Expense management is only accessible to admin users.

Expense types

Limitlytics supports four types of expenses, each designed for a different kind of cost:

Type Description Example
Fixed (one-time) A single expense on a specific date Buying a laptop, conference ticket, office furniture
Recurring A monthly cost that spans a date range Software subscription, office rent, salary
Commission A percentage-based cost tied to a team member Sales commission (e.g., 10% of collected revenue)
Tax A percentage-based deduction linked to a data field Income tax on revenue, VAT on sales

Expense categories

Every fixed and recurring expense is assigned to one of 14 categories. These categories power the expense breakdown charts on your Financial Dashboard:

Software & subscriptions SaaS tools, software licenses, app subscriptions
Equipment & devices Computers, phones, hardware
Office supplies Paper, pens, printer ink, etc.
Utilities Internet, electricity, phone plans
Rent & workspace Office rent, coworking memberships
Advertising Paid ads, sponsored posts
Marketing & content Content creation, design, branding
Events & sponsorships Conferences, trade shows, event sponsorships
Team & contractors Freelancers, consultants, contractors
Travel & transport Flights, hotels, gas, parking
Meals & entertainment Client dinners, team lunches
Taxes & licenses Tax payments, business licenses
Bank, insurance & fees Bank fees, payment processing fees, insurance
Other Anything that doesn't fit above

Click Expenses in the sidebar to expand the expense panel:

  • Fixed -- manage one-time expenses
  • Recurring -- manage monthly recurring expenses
  • Team -- view per-user salary and commission breakdown
  • Tax -- manage tax expenses

For the fastest entry flow, admins can also use Quick actions in the top-right corner to create one-time or recurring expenses from anywhere in the app.

How expenses affect your financials

All expenses are included in your Financial Dashboard calculations:

  • Expenses Chart -- total expenses over time
  • Expenses Breakdown -- expenses by category
  • Profit Chart -- revenue minus expenses
  • Profit Margin Chart -- profit as a percentage of revenue
  • Team Expenses Table -- per-user cost breakdown

The more accurately you track expenses, the more meaningful your profitability data becomes.

Currency

All expense amounts use your team's configured currency (USD, EUR, or GBP). Set this in Settings > General before you start adding expenses. See Settings.
