Every contact has a set of actions you can perform, available from both the contacts board and the table view. These let you manage the contact's lifecycle, record notes, view invoices, track payments, and review the full history.
Changing a contact's status
You can change a contact's funnel stage without dragging on the contacts board:
- Open the Status transition action on the contact
- Review the read-only current status and select the new status from the dropdown
- If the target stage requires extra information (like "Offer presented" or "Customer"), fill in the required fields
- Confirm
The transition is recorded in the contact's audit trail with a timestamp, the old and new status, and any metadata you entered.
On the contacts board, the same flow is also available from the Change status button directly on each card.
Tip: You can move a contact to any stage -- forward or backward in the funnel. There's no restriction on direction.
Disqualifying a lead
Disqualifying keeps the contact in your CRM but removes it from the default board and table views.
What disqualifying does
- Preserves the contact's current funnel stage underneath
- Adds a Disqualified badge when the contact is shown
- Hides the contact by default until you disable Hide disqualified
- Records the action in the timeline
Re-qualifying
If a lead becomes relevant again:
- Disable Hide disqualified on the board or table
- Open the contact actions
- Click Re-qualify
The contact immediately returns to the default active views using its existing funnel stage.
Notes
Notes let you keep internal records about a contact -- call summaries, follow-up reminders, or anything relevant to the relationship.
Adding a note
- Open the Notes action on a contact
- Type your note in the text field
- Click Save
Viewing notes
Notes are displayed in reverse chronological order (newest first). Each note shows:
- The note content
- Who wrote it
- When it was created
Editing and deleting notes
You can edit or delete your own notes. Changes and deletions are tracked in the audit trail, so nothing is ever truly lost.
Timeline (audit trail)
The timeline gives you a complete, chronological history of everything that's happened to a contact.
What's tracked
- Status transitions -- every funnel stage change with before/after status
- Field changes -- edits to name, email, phone, source, and other fields (showing old and new values)
- User assignments -- when team members are added to or removed from the contact
- Qualification changes -- when a contact is disqualified or re-qualified
- Lifetime value changes -- updates to committed and paid amounts
- Notes -- when notes are added, edited, or deleted
- Invoices -- when invoices are created as drafts and when they are finalized
- Payments -- transactions recorded against the contact's deals
Reading the timeline
Each entry shows:
- What changed -- the type of event and details
- Who made the change -- the team member responsible
- When -- the timestamp in your timezone
Finalized invoice entries link the invoice number directly to the public invoice in a new tab, so you can jump from the contact history to the shareable invoice view.
The timeline scrolls from newest to oldest.
Payments
The payments panel gives you a contact-focused payment workspace for that contact's closed deals.
Viewing deal payments
Open the Payments action to see all deals for this contact, along with:
- Deal value and amount paid so far
- Payment status: Unpaid, Partial, or Paid
- A transaction ledger showing every payment and refund
Managing payments
From this panel you can record a payment or refund and Limitlytics will route it through the linked invoice automatically.
When you click Record payment:
- Choose the deal
- If the deal has more than one payable invoice, choose the specific invoice
- Enter the amount, type, and date
- Save
Draft invoices are excluded from this flow. If a deal only has a draft invoice, the action will guide you back to Billing > Invoices so you can review and finalize it first. This keeps invoice readiness, deal payment status, contact lifetime value, and Cash Collected reporting in sync without auto-finalizing anything behind the scenes.
Existing payments still appear in the timeline below, and invoice-linked ones keep pointing back to the invoice for later edits or deletions.

Invoices
The invoices panel shows every invoice connected to the contact.
What you can see
- Invoice number
- Current invoice status
- Total amount and amount paid
- Linked public invoice access whenever the invoice has been finalized
- Payment count per invoice
Use this panel when you want the billing view for the contact rather than the deal transaction view.
Draft invoices in this panel show whether they are ready to finalize and include a shortcut to the dedicated draft edit page in Billing > Invoices. If recipient billing details are missing on a draft invoice, update the contact and the draft recipient snapshot will sync automatically.
Tip: If a payment belongs to an invoice-linked deal transaction, manage that payment from the invoice workflow so billing and deal reporting stay aligned.
Upsells
The upsell action is available when a contact is already a Customer. It lets you record an additional sale.
Recording an upsell
- Open the Upsell action on a customer contact
- Select an offer (or create a new one inline)
- Set the deal value
- The high-ticket toggle is automatically set based on your team's threshold
- Choose the payment type: Paid in full or Payment plan
- Set the first invoice date
- If it is a payment plan, choose the number of installments and optionally a higher first invoice amount
- Save
This creates a new deal of type "Upsell" linked to the contact, creates the billing schedule, and generates the first invoice draft automatically. See Closing Deals for more on deal types.
Admins can also launch Record upsell from Quick actions and choose the customer there first.
Note: The upsell action is only visible on contacts with the "Customer" status.
