Data Fields

Data fields are the configurable metrics your team tracks. They're the building blocks for report forms, dashboards, and analytics -- things like "calls made", "emails sent", "appointments booked", or any custom metric that matters to your business.

What is a data field?

A data field represents a single metric. For example:

  • "Outbound calls"
  • "Proposals sent"
  • "Content pieces published"
  • "Ad spend"

Data fields are created at the team level and can be assigned to individual users through Report Forms.

Viewing data fields

Navigate to Settings > Data Fields to see all data fields for your team.

Each field shows:

  • The field name
  • How many users it's assigned to
  • Whether it's a regular field or a system-generated field

Note: Data fields are an admin-only feature.

System-generated fields

Some data fields are created and maintained automatically by Limitlytics. These are computed from your contact and deal data:

System Field What it tracks
Cash Collected Total payments received (auto-updated when payments are recorded)
Total Revenue Total committed deal value
Paid in Full Count of deals paid in full
Payment Plan Count of deals on payment plans

System-generated fields:

  • Are available for use in dashboards
  • Are not included in user report forms (since they're computed automatically)
  • Update in real time as you record deals and payments

How data fields connect to other features

Data fields are used throughout Limitlytics:

Feature How fields are used
Report Forms Users submit daily values for their assigned fields
Dashboards Fields power dashboard widgets and custom dashboard stats
Targets Each user can have daily and weekly targets per field
Tax Expenses Tax expenses can be linked to a field (e.g., tax on revenue)
Commission Expenses Commissions can be tied to specific field performance

Assigning fields to users

Data fields are assigned to users through the Report Forms configuration, not from the Data Fields page directly. Each assignment includes:

  • Which data field the user reports on
  • A custom question (the prompt the user sees when filling in their form)
  • A daily target (optional)
  • A weekly target (optional)
  • Field order (the sequence fields appear in the form)

Data fields and status mappings

Some data fields can be mapped to contact statuses. This means when a contact reaches a certain funnel stage, the corresponding data field is automatically updated. This bridges your CRM activity with your reporting metrics.
